Why We Collect Information

Social buttons. On many of the pages of our Site and Services you will see “social buttons”. These enable users to share or bookmark web pages or access EXFO content on these social media. These buttons include: Twitter, Google+, Facebook “Like”, LinkedIn “Share”, ShareThis and YouTube. You may also find other regional or language-specific social media buttons. By clicking on any of these buttons, the Site and Services will register your action and may use that information.

To implement these buttons and connect them to the relevant social networks and external sites, scripts from domains outside of EXFO must be used. You should be aware that when you are logged-in to the services of these sites (e.g., Google and Facebook), they are likely to be collecting information about your browsing habits, including when on the EXFO Site and Services, even if you do not click on a social button. Read the respective policies of each of these sites to see how they use your information and how to opt-out or delete such information.

External web services. A number of external web services are used on the EXFO Site to display specific content within our web pages. For example, to display images we may use Flickr, to display slideshows we may use SlideShare, to show videos we may use YouTube. This is not the complete list of the services we use, or might use in the future, but these are the most common. Like for social buttons, we cannot prevent these sites or external domains from collecting information on your use of embedded content. If you are not logged-in to these external services, then they will not know who you are, but will likely gather anonymous usage information (e.g., number of views, plays, loads).

The primary purpose of the session cookie is to assign a unique ID to a user in order to follow the path of the user throughout a website. This unique ID is saved in the cookie, along with 2 timestamps that are used to determine the last visit date of a user that is used on a “what’s new” page. In addition, the cookie contains a key that prevents an unauthorized individual from altering the contents of the cookie.

The session ID stored in the cookie is also used as a look-up key for the “remember me” function that is used for webcasts and mail requests. If a user chooses to use the “remember me” function (by checking a box when entering a webcast), the users’ information will be linked internally to shareholder.com with the session ID.  

This cookie has a 1-year life span.

The session cookie is checked on every page view, and is set if the session cookie is not detected. If the user disables his cookies, the session is reset on every page hit. This does not affect the user’s experience, except that the “remember me” function used for webcasts will not work; the user will have to re-enter all his information at every webcast. 

When this cookie is disabled, the reports generated through the client extranet “dialogue” regarding site usage will not be able to follow the paths of this user. 

Identity cookie

EXFO_IDENTITY

The identity cookie represents a user that has entered information regarding his identity and has opted to use the “remember me” function offered for webcasts and mail document requests. Its existence indicates that the user accepts the “remember me” function. The actual key that links to the personal information is the session ID saved in the session cookie.  

The primary purpose of this cookie is to increase performance by minimizing database look-ups for any page that wishes to display “Welcome %Firstname% %Lastname%”.  Some clients may have this welcome displayed on every page, which represents a significant load on our database servers.  Saving this data in a cookie bypasses this load. Data could be stored in the session cookie, but session cookies are not flexible with respect to the lifespan of identity cookies. 

This cookie lasts for 1 year. 

Recipient cookie

EXFO_RECIPIENT

The recipient cookie is used as a “logged in” cookie, which means the user can modify private information, such as alerts sent to a specific email address. This cookie contains a key (separate from the session ID key) that references contact information (such as email address and phone number). The only way to obtain this cookie is by clicking an email confirmation link that is sent for the purpose of authenticating the user. In order to prevent unauthorized messages from being sent through our system (spam), our clients will not be able to send emails to people who registered through the website, but who didn’t authenticate their email address.

The cookie cannot be tampered using the same md5 authentication procedure as the other two aforementioned cookies.  A “log out” button is provided that can be used to clear this information from the browser.  

This cookie lasts for 1 year, but the duration can be customized. By using our Site, you agree that we can place these types of cookies on your device.When these cookies are disabled, users will be able to edit their contact information and email alerts, but they will have to request the confirmation emails each time they wish to change their information.

Briefcase cookie

This cookie enables the briefcase function on the Site.  Most documents throughout Webcenter/360 (such as PDFs of SEC filings) can be added to the briefcase.  The user then can visit his briefcase at some later date and download all of the documents together as a .ZIP file or individually.

This cookie lasts for 1 year, but the duration can be customized. 

When these cookies are disabled, users are unable to place documents in the briefcase for compression and bulk download, and instead must download items individually. 

Opt-out cookie EXFO_OPT-OUT

Webcenter/360 gives a user the option to opt-out of using cookies to store information. However, the only way of remembering the fact that a user does not want to use cookies is to save that information in a cookie.

This is done by clicking on a specific opt-out link. The person has to reset this cookie every time the cookie is cleared from his system. This cookie is simply provided as an option for people that do not want cookies to store their information, but do not have access to (or do not want to) alter their cookie settings.
This cookie has no expiration date. The cookie must be deleted to restore the function. 

The Site will assume that the user has allowed cookies and has attempted to set them as normal. Depending on the security level of his browser, this may result in multiple prompts for the user to accept cookies.

Sqpagediv cookie

This cookie is used to remember what ticker symbol the user has selected in the right hand column of all "Stock Quotes" pages (sqpageDIV cookie) or on the "Stock Listings" page (sqpageli cookie).

This cookie expires once the user closes his browser.

When these cookies are disabled, users will always see the NASDAQ ticker by default because their preferences will not be remembered during the session.

Nomobile cookie EXFO_NOMOBILE

This cookie identifies users who are on a mobile device. When that is the case, the cookie redirects the user to the IR mobile page.

This cookie expires after 1 day.

When these cookies are disabled, users will always be directed to the Investor Relations page on the website, whether they are on a computer or a mobile device.

How Can Your Web Browser or Device Control Cookies

All major browsers provide security controls for cookies. In general, they allow users to block all cookies, or block specific or third-party cookies. You may also activate the settings on your browser that allow you to refuse cookies. Unless you set your browser to refuse cookies, our system will issue cookies when you log-on to our Site and Services.

The Information We Collect About You

We may collect, process and use the following information about you, your device and how you use it:

  • Details of your visits to our Site and Services including, but not limited to, traffic data, location data, weblogs and other communication data, search activities as well as the page, content, software or resources that you access.
  • Information that you provide on our Site and Services, which includes information provided when registering for our Site and Services, subscribing to a service, posting material, reporting a problem, requesting further services or when you enter a contest or promotion.
  • Your IP address, web addresses of the sites you arrive from and go to next and information about your connection, including your device's browser, operating system, platform type and Internet connection speed. We use this information for operational and performance measurement purposes and to regionalize certain contents of the Site and Services.
  • Details of transactions and orders, your history of correspondence with us, quote requests or inquiries or when you contact customer service or technical support.
  • Information you provide in the blog, other online forums or through online surveys.

Registered user profile. We keep a log of visitors to the Site, which contains information on our individual registered users. The information we collect comes from three sources. First, it is the information that you provide when you fill a form to access premium content or when you create an EXFO, My EXFO or Supplier profile. Second, the information you provide or update in the “Your Profile” section. Finally, we record details of your visits and of contributions you make to the Site and Services.

E-mail tracking. Some e-mails that we send have no tracking. In others, we use tracking so that we can tell how much traffic those e-mails generate to our Site. We use this information to calculate the open and click rates of our e-mails to try to improve them. Sometimes we use personal information to re-e-mail people who did not click the first time or to send additional e-mails at a later date. If you want to be sure that none of your e-mail activity is tracked, then you should “opt-out” of EXFO’s e-mails, which you can do via the form on the Site, via the “Your Preferences” section as well as by using the “Unsubscribe” link in all our e-mails.

Surveys and contests. From time to time our Site may request information from users via surveys, contests or for a particular service (e.g., newsletter). Participation in these surveys or contests is completely voluntary, which means that the decision to disclose any personal information is left up to the user.

Blog and forum comments. To leave a comment in our public forums, you have to be a logged-in user. If you use such forums, you should be aware, and expressly agree, that any personally identifiable information you submit can be read, collected or otherwise used by anyone who reads our forums. We are not responsible for third-party usage of publicly viewable personal information on our Site and Services.

Information You Provide

Some of EXFO’s services require that you log in or register and provide personal information. Information requested may include your name, title, company name, mailing address, e-mail address, etc. Some registration forms may ask for additional demographic or corporate information, your industry and market segment, unique identifiers or may inquire about your preferences and interests. Some fields may be mandatory to obtain the service requested, while others may be optional.

Should you choose not to complete the registration, you may be denied access to certain parts or content of the Site and Services, which means that the Site and Services may not function optimally as a result.

Information Generated and Collected Automatically

We use web analytics tools to automatically store usage information, such as the origin, numbers and frequency of visitors to our Site and Services and how they use its contents and components. This data is only used in the analytics tool aggregate and helps us figure out how to provide an optimal experience to as many users as possible.

When a user provides us with information that identifies him, such as when you fill a form on the Site and Services, we may store it in our marketing databases to personalize your relationship with EXFO. We do this to recognize you and to gather data when you visit our sites, or use our products and services; we may also do this with cookies (learn more in the section on cookies).

Information Protection and Disclosure

Information about our customers is an integral part of our business. We neither loan nor sell your personal information to anyone. About E-mail Communications

When filling a form, you have the opportunity to opt-in or out of e-mail communications. If you opt-in, we may occasionally send promotional material or notifications related to our products and services to the e-mail address you provided upon registration or in your account. To help make this promotional material more relevant to you, we may cross-reference it with the personal and other Information we collect.

These e-mails may contain information on EXFO, including relevant resources, product information, promotions and upcoming events, which will be based on your profile or preferences. You may also receive e-mails from some of our approved partners concerning EXFO’s products and services.

If at any time, you no longer want to receive promotional e-mails from us, you can “Unsubscribe” or “Change your preferences” on our Site and Services or use the links available at the bottom of each e-mail. You can also opt-out of being contacted by us at any time by sending us an e-mail.

When you are a registered user, there are certain service notification e-mails that you cannot opt-out of, such as renewal notices and change notices applicable to our products, services or policies.

We may give you the opportunity to opt-in for additional newsletters or alerts. You will be added to these lists only if you register for them via a form or checkbox on the EXFO Site and Services, or by doing so in an offline paper form. If you no longer want to receive such communications by e-mail, you may opt-out by following the instructions included in each communication or by sending an opt-out request.

Reviewing and Changing Your Personally Identifiable Information

On the Site, you can at any time review and change the information you submitted by visiting “Your Account” in the “Your Profile” section. You should always promptly update your information when it changes. You can also send us a request.

Once posted, you cannot change or remove any public postings made in our forums, other message areas or the feedback area.

Please contact EXFO if you would like your personal information removed from our database. Please note that we will retain some of the information you may have requested us to remove for specific reasons, such as to resolve disputes, troubleshoot problems and enforce our Terms of Use and Disclaimers.

Furthermore, some information is never completely removed from our databases because of technical constraints and the fact that we regularly back up our systems. Therefore, not all of your personally identifiable information will ever be completely removed from our databases.

About Your Password

You are responsible for keeping passwords that enable you to access certain parts of our Site and Services confidential, when applicable. Never share your EXFO password with a third party. In doing so, you may lose substantial control over your personally identifiable information and may be subject to legally binding actions taken on your behalf. You can change your password at any time, and if your password has been compromised for any reason, you should immediately change it by visiting “Your Account” in the “Your Profile” section.
